Planning Cable Management in an Occupied Office

Coordinate workplace cable-management work around staff, IT access, desk release, building procedures and handover.

Clearer desks. Better working days.

Improving an office while people are working calls for more planning than organising an empty room. The installation brief needs to identify which areas can be released, who controls the equipment and how completed work will return to use. This guide focuses on coordinating the visit, complementing the CODEEX cable-management guide and service information.

Divide the workplace into practical work areas

List the teams, desk banks and shared rooms included in the proposed project. Explain which areas can be made available together and which need a phased approach. Consider ordinary workplace activities such as reception cover, scheduled meetings and staff attendance rather than choosing an installation time solely from an empty calendar. Photographs and a marked floorplan help the office understand the sequence. Where desks differ significantly, identify a representative example of each arrangement so the quotation does not depend on an inaccurate assumption that every workstation is identical.

Nominate the people who can make decisions

A clear workplace contact can resolve questions about access, equipment and minor scope changes. Identify who has authority to approve work and who should be consulted before anything is disconnected or moved. If IT support comes from another company, explain their role and availability before the visit is arranged. Avoid leaving staff to make conflicting decisions at individual desks. Keep the agreed contact details with the work brief so the installation team has a practical route for resolving an unexpected constraint without treating silence as authorisation.

Set realistic expectations for access and disruption

Describe the hours when work can take place, the areas that must remain operational and any restrictions on noise or moving furniture. Ask about evening or weekend attendance if needed; do not assume that it is available or included in standard pricing. Include concierge entry, lift bookings, loading arrangements and building-management procedures. Tell staff when their desks need to be ready and which personal items should be removed. Keep confidential information off the photographs used for the enquiry and arrange controlled access to any sensitive working areas.

Separate installation checks from IT acceptance

Agree what the installation team will review and what belongs to the workplace or IT team. A physically tidy desk is not the same as a tested network or approved electrical installation. Report known damaged equipment and trailing leads so suitable action can be considered; these are concerns identified in HSE electrical-safety guidance. Where specialist work or testing is needed, make it an explicit requirement rather than an implied part of cable organisation. A short responsibility list helps each team understand what it is accepting at handover.

Keep a useful record for the next phase

Record which work areas were included, any agreed changes and anything left for separate attention. Keep product references for new containment or accessories with the workplace information. Explain the finished arrangement to staff and agree how future moves will be requested. If a second phase is expected, note what was learned about access, equipment and desk types while the details are still available. CODEEX can review the cable work alongside furniture assembly, screen fitting and general office maintenance when the related requirements are described together.
