Meeting-Room Cable Management: A Clearer Brief for Your Office

Plan meeting-room cable routes around screens, table connections, visiting users and the team responsible for AV equipment.

Clearer desks. Better working days.

A meeting room needs to work for the people using it, whether they are joining a video call, connecting a laptop or presenting to visitors. Cable management should support that experience rather than simply hide the visible leads. A useful enquiry explains the room, equipment and responsibilities so the physical installation can be considered alongside the operational needs.

Map the room around its real activities

Photograph the table, display wall and normal presentation position. Explain the typical group size, how laptops are connected and whether the furniture is fixed or regularly rearranged. Include any floor boxes, existing containment and fitted furniture that affect the available routes. Describe the problem in everyday terms, such as leads crossing a walkway or connectors being difficult to find. This helps distinguish a physical cable-routing issue from an AV configuration problem. A simple room sketch can be useful even if it is not a measured technical drawing.

List the equipment and the connections people need

Provide the models of screens, cameras, speakers, conferencing equipment and any table-mounted connection points. Identify products you intend to retain and any new equipment awaiting delivery. If a visiting user needs an accessible connection, explain where that access should be available rather than assuming every lead should disappear inside furniture. Share relevant product instructions where available. Different teams may own different parts of the setup, so record who can approve the physical changes and who decides whether the AV system is functioning correctly afterwards.

Coordinate screen fitting and furniture work

Tell CODEEX if the project also involves a display bracket, monitor arm, table assembly or relocation of furniture. These tasks can influence cable lengths, attachment positions and the sequence of work. Explain what is already installed and what is only proposed. A wall-mounted screen does not by itself establish that the wall, fixings or concealed route are suitable for further alteration. Photographs help the office review the enquiry, while any necessary site assessment remains part of agreeing the work. Include making-good or finish preferences if these matter to the room.

Agree the room release and technical responsibilities

Book a room-release period through the person who manages the workplace, and explain whether nearby areas will remain occupied. Identify any IT or AV contractor needed for controlled equipment handling or final checks. Do not assume physical cable organisation includes network configuration, software support or changes to fixed electrical wiring. HSE guidance highlights trailing cables and damaged equipment as workplace concerns. Known safety issues should be reported for appropriate assessment, while the installation proposal should clearly state its own responsibilities and limits.

Define what a usable handover looks like

Prepare a short handover list based on the activities described in the original brief. Identify the person who will check the agreed physical work and the team who will check the room equipment. Keep operating instructions and product information where workplace staff can find them. Consider how future equipment changes will be handled and who should be contacted before routes are altered. Send CODEEX the room photographs, equipment list and proposed attendance window so the office can review the installation needs and discuss a suitable quotation.
